EVENT PLANNING & ON THE DAY COORDINATINGToday we are bringing you some information about what we do to help you within the wedding process at our venue. As a venue we do on average at least 50% of the total process for you. We even think it's more sitting around the 60-70% mark. We are huge advocators in the wedding process to be fun and easy, not stressful and hard, therefore we like to give all our couples as much information as we can to make the process as easy as possible. Once couples choose us to be apart of their wedding day we get right to it with giving each and every couple copious amounts of information. Generally the initial meeting at the venue can be overwhelming, we tend to focus on walking you around the property showing you the all the spaces. We then chat about what we do here, what is included and the overall pricing structure. PRE PLANNING & ON THE DAY COORDINATIONAs part of the inclusions for our venue we provide all the on the day event coordination to ensure the smooth process on your wedding day.
Prior to your wedding date we provide 4 on site meetings, then the 5th is on the day of your wedding.
In our pre event meeting we discuss absolutely everything. We chat about your overall vision for the day, we generate a run sheet with all relevant timing, discuss your dream team of suppliers, work out the room layout of where you wish to place everything and really get the bulk of the information so our team can run your wedding just the way you had always hoped for. On the day of the wedding we allow couples to drop their styling stuff off at 9am- See terms and conditions for exact inclusions that are allowed to be dropped off for our staff to set up as part of our basic styling services. We will liaise with your suppliers on the day to make sure they know where to set up, also answering any questions they may have in regards to the day. We will also communicate with your MC to make sure they have the same run sheet as us. Our staff will set up your table numbers, name tags, hired coloured napkins or table cloths, menus, small signs and easels, seating chart, welcome sign, gift table items such as wishing well & guest book. The use of our in house coordinator/ venue manager ensures the smooth process of your wedding. We are here to make sure if we are running behind we can adjust accordingly. If something happens we can problem solve. We know the venue the best so we can always make the right decisions based on what works well for the environment. Most of the time the coordinators who are here on the day, they have taken most of the couples through the planning process so they know exactly what the couple want on the day, helping eliminate any of that wedding day stress couples are worried about. You can always count on your venue manager to be there for you when you arrive in your wedding car to assist you right before you walk down the aisle. It's always nice seeing a friendly face you are comfortable with to calm the nerves. We make sure all your guests are here and right where they need to be for your arrival. We make sure your bridesmaids are in order and ready to go. We liaise with the celebrant to make sure everything is on track for the start of the ceremony. We fluff your dress moments before you walk down the aisle. Post ceremony we greet you with drinks for the portrait session. We then work like little working bees repurposing items from the ceremony space to reception. We make sure everything is on schedule time wise. We make sure drinks are free flowing after the ceremony. We make sure the space is always clean of glassware and rubbish. We make sure food is coming out of the kitchen at appropriate times in line with the run sheet. We make sure guests are congregating in the right areas for bridal party introductions. We make sure guests are seated at the right times. We make sure the couple always have a drink in their hand. We are your absolute ride or die on the day, we are here at your beck and call for anything you need. You say jump, we say how high. We have your back right through the whole process. Most of all we get to celebrate the most amazing day of your life and at the end of the day we LOVE our job getting to work with so many amazing couples!!! |
